An efficient filing system is indispensable for a productive office. Files must be stored safely and be easy to find. A good filing system (physical or electronic) can save a great deal of time:

  • First consider the files that need to be stored and choose the appropriate filing system
  • Define categories e.g. incoming invoices, meeting minutes, and subcategories i.e. chronological, alphabetical, according to dept. etc..
  • Label clearly so that you don't have to search
  • Keep up to date with filing. It is an unpopular task and is easy to put off but the few extra minutes are time well-spent. Time is saved when the file is needed later.
